Mistakes that still create rework
I handle purchasing for a 260-person facilities services contractor—roughly $90,000 a year in maintenance buys across eight vendors. Most orders are easy. Fasteners are not.
This checklist is for the people who order hardware for other people: admin buyers, facility coordinators, anyone handed a note that says “screws” and is expected to know which screw. Use it when a maintenance request leaves out the details, when you are stocking a job box, or when you are trying to make sense of a line item like “Hillman Phillips pan head self-drilling screws” on an old packing slip. Six checks, in order.
When I first took over purchasing in 2022, I assumed fastener orders were the easy ones. Screws are screws, right? Then I sent wood screws to a crew repairing a metal stud wall. They needed self-drilling screws, and I had not asked one basic question: what material is going into what? The screws sat on the shelf for months.
1. Identify what you’re joining
Ask the requester two questions before looking at any catalog: what is being attached, and what is it being attached to? That answer decides the fastener family. If you are fastening thin steel to thin steel and nobody can reach the back side, the usual answer is Hillman Phillips pan head self-drilling screws. They have a drill point built into the tip, so the crew does not need to pre-drill a pilot hole.
If you are installing wood trim into wood framing and want the screw to sit flush, a Phillips flat head wood screw is the standard choice. If the joint needs to come apart again or has to carry a real load, skip the screw and order a bolt, nut, and washers.
2. Pick the head style by the finished surface
Head style is not cosmetic. A pan head sits entirely on top of the surface. A flat head is tapered underneath so it can sit flush inside a countersunk hole. For a strike plate or a hinge, that flush finish is often the whole point—use a Phillips flat head wood screw. A domed pan head in the same spot can stop the door from closing properly.
Use a pan head when the material is too thin to countersink or when you want the extra clamping area on top. And if the workpiece already has a countersunk hole, compare the screw head angle against that hole before ordering. Two flat head screws can look the same and still sit at different angles.
3. Confirm the thread, length, and grade for nuts and bolts
When a request says “hillman nuts and bolts” with no numbers, that is a red flag for me. A specification like 1/4-20 x 1 in. means diameter 1/4 inch, 20 threads per inch, and 1 inch long. A 1/4-20 nut will not start on a 1/4-28 thread, so “quarter-inch bolt” is not enough information.
I keep our Hillman nuts and bolts stock separated by size and thread pitch, not just by fastener type. Coarse threads start easier and do better in softer materials. Fine threads resist vibration better and allow more precise adjustment. Ask which one the job uses instead of guessing.
If the bolt is load-bearing, ask about grade or strength rating as well. It is a cheap question to ask over email and an expensive one to ask after something fails.
4. Match the finish to the environment
Buying a box of “silver screws” for an exterior handrail is how you end up doing the job twice. For dry interior work, zinc-plated steel is fine. For exterior exposure, humid areas, or treated lumber, that is when you move to stainless steel or another corrosion-resistant option.
Here’s the thing: no finish is maintenance-free. Even stainless can develop surface staining in a coastal salt environment. To be fair, that does not mean the fastener failed; it means corrosion resistance has limits. The better question is whether the finish will last as long as the assembly around it. If a supplier promises “rust-proof forever,” that is a red flag.
5. Know what cutting disc to use for metal before you order rod stock
Sometimes the right answer is not a longer bolt. It is a standard threaded rod cut to length. That is when the “what cutting disc for metal?” question shows up, usually right after someone realizes they cannot snap a steel rod by hand.
For a 4-1/2-inch angle grinder, the answer is a thin resin-bonded cutoff wheel rated for metal—not a grinding wheel and not a masonry blade. A cutoff wheel is designed for slicing; a grinding wheel is for removing surface material. If you are cutting stainless, pick a disc marked for stainless. If you are cutting aluminum, use a disc meant for aluminum so the wheel does not load up. And no matter which disc you pick, check the rated RPM against the grinder before you start.
6. Write down the part identity, and verify by label
The last check happens before you hit submit. Get the package number, the manufacturer part number, or the exact product name onto the order. “The silver Hillman screws” is not a reorder specification. The box label is. Once you have a correct part number, future orders take seconds.
That same habit works for non-fastener requests. I was once asked to find a “hillman 1900 psi pressure washer manual” and the request did not include a model number. We stopped and asked for a photo of the machine’s nameplate. Thirty seconds later we had the exact product model and the right manual. The label is the source of truth, whether you are ordering a screw or a service part.
Mistakes that still create rework
First, ordering by nickname. “The screws that look like the other ones” causes more wasted hours than any product chart. In fastener purchasing, the label matters more than the conversation.
Second, skipping the countersink question. If the screw head has to disappear, a flat head with the wrong angle will sit above the surface or wobble in the hole. That turns a five-minute hinge fix into a trip back to the hardware store.
Third, treating a cutting disc like an accessory. It is a safety item and a consumable with a specific job. The right cutoff wheel makes clean work in seconds. The wrong one grabs, sparks, and slows everyone down.
Take it from someone who has ordered the wrong fastener more than once: short request lists are dangerous. If the requester cannot answer these six checks, get a photo and the label off the original packaging. The extra five minutes is the cheapest part of the whole purchase.
